Privacy Policy
The short version
Your paystub is processed in your browser session and is not saved to our servers. Your account email, department configuration, and entered hours are saved. We don't sell your data, don't advertise, and don't share your pay information with your employer or union. Redact personal identifiers from your paystub before uploading.
1. What we collect
Paystub data — session only. Paystub contents are held in your browser for the duration of your session so the audit can run. They are not written to our database and do not persist after your session ends. Paystub text is transmitted to our AI processing provider for parsing (see Section 3).
Account information. Email address, and authentication credentials or Google account identifier.
What you enter. Years of service, eligibility selections, classification and step, pay rates, and the hours, overtime, FSO assignments, and leave you enter for a pay period. Stored so you don't lose your work.
Department configuration. Extracted contract rules, label mappings, pay rate tables, corrections, and feedback. Shared among members of the same department.
What we don't collect. We do not want your Social Security number, bank or direct-deposit details, home address, employee ID, or date of birth. Paystubs often contain these — redact them before uploading.
2. Why
To run your audit, keep you signed in, let you resume work, let a department configure rules once instead of once per member, and fix bugs. Not for advertising. We do not sell your information.
3. Third parties
AI processing provider. Paystub and contract text is sent to a third-party AI service for parsing and rule extraction. It processes the content to return a result; under our arrangement it is not used to train their models.
Hosting and database. Account information, department configuration, and your entered pay-period data are stored with our hosting and database provider.
Nobody else. We do not share your information with your employer, union, or department, except as in Section 6.
4. Where your data lives
Your browser: profile, pay rates, entered hours, department selection. Our database: account and department configuration. Nowhere persistent: paystub contents.
5. Department configuration is shared
Other members of your department who use Hero Pay can see and edit the department's contract rules, label mappings, and rate tables. Never enter personal information there. Your paystub data, entered hours, and reports are yours alone.
6. When we would disclose
When you direct us to; to the providers in Section 3 to operate the tool; when required by valid legal process; to investigate fraud, abuse, or a security incident; or in connection with a transfer of the service, with notice. We will not voluntarily provide your information to your employer.
7. Security
We use authentication, access controls, and encryption in transit. Database access is restricted to authenticated users and scoped by policy. No system is perfectly secure — the strongest protection available to you is redacting identifiers before uploading, so sensitive data never enters the system. Hero Pay is in limited trial and has not been independently audited.
8. Retention
Paystub data: not retained. Account information: while your account is active. Your entered pay-period data: until you clear it or delete your account. Department configuration: as long as the department record exists — it may remain after your account is deleted, since it belongs to the department.
9. Your choices
Most of your data is visible in the app; ask us for anything else. Edit it in the app. Email thedombei@gmail.com to delete your account and personal data. Use the app's reset controls or clear your browser storage for local data.
California residents have rights under the CCPA/CPRA, including to know what personal information is collected, to delete it, and to correct it. We do not sell personal information and do not share it for cross-context behavioral advertising. Contact us at thedombei@gmail.com to exercise any right.
10. Not for minors
Hero Pay is for employed public safety personnel and is not directed to anyone under 18.
11. Changes
We may update this policy; material changes will be posted with a revised date.
